If you've found yourself on this page, you're likely unsure as to how you go about fulfilling your event's Worship or Production needs. Please help serve our team by reading the following FAQ first so that you have a comprehensive understanding of the process with appropriate expectations in place.

When should I consider asking for help from our Worship Team and/or Production Team?
If you are wanting to include worship in your event's liturgy or needing specialized help with your audio, visual and lighting components.
How do I let the Worship Department know that I need help?
Please submit your event details with as much specificity as possible through our intake form found at austinstone.org/worshiphelp
What is the difference between a Congregation Event and a Central Event?
A Congregation event would be any event directly tied to a Congregation's initiatives in name and mission
- Family Prayer, Partner Gathering, Leadership Huddle, Deacon Day Away, ASDP, etc.
- Pro Tip: If your congregation is in the title of your event this would be considered a congregation event (ex: North Men's Retreat, South Women's Night of Worship, Downtown Family Retreat)
A Central event is any event that doesn't restrict attendance to a specific congregation but is open to a larger population of attendees at The Austin Stone.
- City Wide Worship, College Night of Worship, Team Renew, Women's Retreat, ASI Seminars, Recovery, etc.
- Pro Tip: If the event owner's team is not a congregational team your event would likely be considered a central event
Can I just ask an individual team member within the Worship Department if they can lead Worship or facilitate my production needs?
No (unless your event is a Congregation-led event - see previous question).
We have many events taking place in any given semester and we work hard to make sure no single person bears the weight of leading them all. We've purposefully designed this process so that the Worship Department Leadership has eyes on your event details before any commitments are made to help evenly spread the energy and time commitment it takes to successfully accomplish each event's request. We have an incredible team of talented and capable Worship Leader and Production Managers that we trust to lead at your events!
What if my event is a congregation-led event? Can I ask my Congregation Worship Leader and Production Manager for help?
Yes!
If your event is a congregation-led event then you should communicate internally with your congregation representatives from the Worship Department!
Do I still need to submit a Worship & Production form for my congregation-led event if my Congregation's Worship Leader and Production Manager can facilitate my event?
At this time, no!
What if my Congregation Worship Leader or Production Manager is unavailable to facilitate the request for my congregation-led event?
After asking your WL and PM first, submit your event details via our Worship & Production Request form.
Please notate in the "Additional Comments" section what the need is. (Ex: We are requesting Production support as our Congregation PM is on vacation. Our Congregation WL has confirmed they will be leading worship for this event.)
Am I allowed to request a specific Worship Leader or Production Manager for my event?
We are happy to consider your preference, however, it is not a guarantee that the person you request will be available.
Do I need to allocate budget dollars towards compensating any Worship and Production help I request?
At this time, Worship Leaders and Production Managers that are on staff are not additionally compensated for leading at Austin Stone internal events; these events are within the scope of their job description and thus, they are compensated for them.
If we book a Worship Leader, Musician, or Audio Engineer not on our staff, please expect to pay them following the rates listed below.

Audio Engineer (0-4hrs) | $250 |

Men and Women on staff at The Austin Stone will often times lead worship or play in a band at an event as a musician. If we book a staff musician/vocalist please expect to pay them following the rates listed above.
If we book someone who meets the requirements above (a staff musician or vocalist) but your event is one that this staff member would be required to be at as it pertains to the scope of their job, then they would not require compensation from your budget. They are already expected to be at your event as part of their job.
Scenarios where this logics applies are as follows:

- Staff Retreat
When can I expect to have my event staffed with a Worship Leader and/or a Production Manager?
If your event takes place over one evening you can expect to see your event staffed no later than 30 days out.
If you event takes place over multiple days, is a conference and/or requires using a venue not owned by The Austin Stone, you can expect to see your event staffed no later than 60 days out.
What is the difference between an Internal Event and an External Event?
An internal event would be an event that has TAS budget allocated, TAS brand association and TAS Leadership approval from your Department Director.
An external event would be facilitated in partnership with another entity like ATX Conference, Launch Global gatherings, Pine Cove City or something like SEND. Please note, simply because an Austin Stone Facility is hosting an event does not mean it is considered internal.
